Payroll operations manager job vacancy

Managing staff responsibility: Yes – payroll team

Main job objective: 

  • To ensure we deliver the very best and commercially cost effective service to our clients while remaining compliant to all payroll rules and regulations, within a fast paced payroll bureau environment.
  • To manage the payroll team ensuring standards and customer care are maintained and delivered at a high level.
  • To act as an escalation point for all client queries in relation to the payroll service.
  • You will also be expected to contribute to the development of the department and services available at operation level.
  • Occasionally client visits may be required.

List of main duties:

  • People management for the payroll team on a daily basis. This includes carrying out return to work interviews, appraisals, ‘one to one’ meetings, personal development support, training, advice and guidance.
  • Be a point of escalation for clients. Dealing with complex and delicate situations in an effective and timely manner taking into consideration the clients’ needs and expectations while being conscious of the company’s policies and procedures.
  • To process Quill’s payroll on a monthly basis with the support of the payroll technical lead.
  • To analyse cashier and site metrics, constantly looking for ways to improve the efficiency of the service.
  • To set staffing levels, interview and recruit staff within the department, subject to agreement with the client services director.
  • To liaise and add input with the marketing department on mailing campaigns and promotional marketing literature for the department.
  • To ensure self and team are fully up to date on all payroll / pensions rules and regulations.
  • To monitor clients and ensure that the starter and leaver spreadsheet is up to date and sent to accounts on a monthly basis.
  • To liaise with the accounts department on a quarterly basis to produce client review figures.
  • To speak to clients whose fees are increasing before correspondence/ invoices are sent out.
  • To monitor the department's charging fees to ensure that we are competitive and charge for all available services.
  • To manage and ensure the procedures manual us up to date and compliant with payroll rules and regulations.
  • To set departmental objectives from the company strategy.
  • Provide leadership to the payroll team.
  • Attend management meetings wherever necessary.
  • To carry out any other reasonable duties as requited by your manager.

Skills and experience:

  • Professionally qualified or part qualified (CIPP or equivalent).
  • Experience in a bureau environment.
  • Two to three years’ experience in industry.
  • Strong oral and written communication skills are essential.
  • Ideally experienced in service, software and or legal sector.
  • Commercial aptitude to support business growth.
  • Bright pay experience desirable.
  • Full driving license as travel may be required.
